THESE TERMS AND CONDITIONS DEFINE THE RIGHTS AND OBLIGATIONS BETWEEN THE ROYAL NICK HOTEL AND OUR CUSTOMERS REGARDING RESERVATIONS MADE THROUGH THE ROYAL NICK HOTEL WEBSITE.
We kindly ask that you (the “Customer” or “You”) read and understand these terms before finalizing your booking. By making a reservation via our website, You accept and agree to all the terms and conditions outlined below.
I. Reservation & Booking Confirmation
A reservation is officially confirmed upon the Royal Nick Hotel’s (hereinafter, the “Hotel” or “We”) acceptance of your booking request. An acknowledgment of receipt will typically be sent to you by email.
Customer Responsibility: You are solely responsible for your choice of services and for ensuring those services are suitable for your needs. The Hotel cannot be held responsible in this respect.
Room Allocation: The Customer does not acquire the right to be provided with a specific room number or location unless explicitly guaranteed in writing.
Contracting Parties: The contract is exclusively between the Hotel and the Customer. If a third party makes a booking on your behalf, that party shall be jointly and severally liable with the Customer for all obligations arising from the contract, provided the Hotel has a corresponding statement from the third party.
Group Bookings: Rates published online are not valid for Group Bookings, defined as a reservation for 10 rooms or more with the same or similar arrival and departure dates.
For any online reservation identified as a Group Booking, the Hotel reserves the right to contact the client to apply special conditions and rates.
The Hotel reserves the right to refuse or cancel any such reservation if the client has not accepted the applicable special booking conditions and rates.
Claims: Any claims against the Hotel shall be time-barred according to the applicable laws and regulations of Ghana.
II. Cancellation, Repudiation, and No-Show Policy
The cancellation of a concluded contract by the Customer requires the Hotel’s written consent.
No Consent: If the Hotel’s written consent is not given, the full price agreed in the contract may be charged, even if the Customer does not utilize the services (a “No Show”).
Free Cancellation: If the Hotel and Customer have agreed upon a written date for cost-free cancellation, the Customer may cancel the contract up to that date without incurring payment or damage compensation claims. The right of cancellation expires if not exercised in writing by the agreed date.
Prepaid Reservations: Reservations made with prepayment are typically non-refundable and cannot be changed or canceled. Sums paid in advance as a deposit are non-refundable.
Hotel Mitigation: If rooms are unused due to a cancellation or no-show, the Hotel must reasonably attempt to rent the rooms to other parties and apply credit for any resulting income and saved expenses.
Flat-Rate Compensation: The Hotel may, at its discretion, demand the contractually agreed compensation and apply a flat-rate deduction for saved expenses. In this case, the Customer shall pay a percentage of the agreed rate as determined by the applicable laws of Ghana or the Hotel’s internal regulations.
Early Departure: Guests departing before their booked check-out date will be charged for the remaining nights of the original reservation confirmation.
III. Hotel Stay, Availability, and Check-In/Out
Check-In and Check-Out
Check-In: Unless otherwise agreed in writing, You are entitled to check in at any time from 3:00 p.m. on the agreed arrival date. The Customer is not entitled to earlier availability.
Check-Out: On the agreed date of departure, You shall kindly vacate your room(s) and make them available to the Hotel no later than 12:00 noon, unless otherwise agreed in writing.
Late Check-Out Fees: If the room is vacated late, the Hotel may charge 50% of the full accommodation rate for use extending until 6:00 p.m. (after 6:00 p.m., the full 100% accommodation rate will be charged). The Customer is at liberty to demonstrate that the Hotel incurred no or much lesser claim to use damages.
Registration and Internal Regulations
Police Registration: In compliance with regulations in Ghana, Customers may be asked upon arrival to fill out a police registration card. You will be asked to provide identification for this purpose.
House Rules: You accept to be bound by and undertake to respect the Hotel’s Internal Regulations (“House Rules”) as displayed in the room or on the premises.
WiFi and Technology Use
The Hotel offers complimentary WIFI access. You undertake to ensure that these computing resources are not used for any illegal purposes, including the unauthorized reproduction, provision, or communication to the public of work or objects protected by copyright. You agree to be bound by all the terms and conditions of our Wi-Fi provider.
Liability for Property and Cash
The Hotel is liable for property and cash brought into the Hotel in accordance with the applicable laws and regulations of Ghana.
The Hotel recommends that cash, securities, and valuables be stored in the Hotel safe. You shall notify the Hotel immediately upon knowledge of any loss, destruction, or damage to your property.
Parking
If a parking space is provided to the Customer in the Hotel parking lot, this does not constitute a safekeeping agreement, even if a fee is exchanged.
The Hotel assumes no liability for the loss of or damage to motor vehicles or their contents while parked or maneuvered on the Hotel’s property, excepting cases of proven intent or gross negligence on the part of the Hotel.
Services
Wake-up calls and Message Handling: Wake-up calls are carried out with the greatest possible diligence. Messages, mail, and merchandise deliveries for guests are handled with care. The Hotel assumes no liability in this regard but will make its best effort to deliver, hold, and (on request and for a fee) forward such items.

V. Agreement on Evidence
The entry of necessary bank details and the acceptance of these Terms and Conditions and the reservation form constitute the contractual obligation between the Hotel and the Customer.
VI. Force Majeure
The Hotel will accept no liability and will not pay any compensation where the performance of our obligations is prevented or affected, directly or indirectly, by or as a result of Force Majeure or any circumstances beyond our reasonable control. This includes, but is not limited to, floods, earthquakes, natural disasters, acts of God, acts of terrorism, fire, or failure of electric power, gas, water, or other utility services.
VII. Settlement of Disputes and Applicable Law
Amicable Resolution: In the event of a dispute relating to these Terms and Conditions, You should first contact the Hotel’s Customer Services or the Hotel management to attempt to resolve the dispute amicably.
Governing Law: These Terms and Conditions and any non-contractual obligations arising in connection with them are governed by the laws of Ghana.
Jurisdiction: The courts of the Republic of Ghana have exclusive jurisdiction to determine any dispute arising in connection with these Terms and Conditions, including disputes relating to any non-contractual obligations.

While all reasonable efforts have been taken to ensure the accuracy of information on our websites, We do not accept responsibility for errors or omissions and reserve the right to amend or cancel the arrangements featured on our websites without notice.
The content of the Website is the Hotel’s copyright and may not be copied, reproduced, published, distributed, or amended for any other purpose without our prior written consent.
